AI adoption & change management

AI adoption and change management, step by step.

A clear path from rollout to everyday use — for Microsoft 365, Copilot, AI tools and Google Workspace. Here is exactly what we do, in what order, and what you receive at each stage.

The basics

Two things every rollout needs

Most rollouts deliver the technology and a training day. The results come from the two things in between.

Adoption

People actually using the new tool in their daily work — not just having access to it.

  • Measured by real use, not attendance
  • Looks different for every role
  • Built through practice, support and reminders

Change management

The planning, communication and support that help people move from the old way of working to the new one.

  • Visible sponsors and local champions
  • Clear messages: what, why and when
  • Support before, during and after go-live

Edukinect delivers both, together — so your rollout doesn’t stop at training day.

Our method

Five phases, real steps

Select a phase to see what happens, who is involved and what you receive. Timings are typical for a mid-sized rollout — we tailor every plan to your organisation.

Phase 01

Assess

Understand where you are today, and where adoption is getting stuck.

Weeks 1–2Who’s involved: Leadership, IT, HR / L&D

What we do

  1. Kick-off with your sponsors to agree goals and priorities
  2. Short readiness survey and interviews with key teams
  3. Review current licences and usage data
  4. Identify priority roles and early champions

What you do

  • Name a project sponsor
  • Share access to usage reports
  • Invite key staff to short interviews
You receive: Capability Assessment report with a clear adoption roadmap
Phase 02

Plan

Turn the findings into a simple change plan everyone understands.

Weeks 2–4Who’s involved: Sponsor, IT, communications

What we do

  1. Agree 3–5 success measures, such as weekly active users
  2. Choose a pilot group and set the timeline
  3. Write the communications plan and key messages
  4. Draft AI safe-use guidelines with your IT and risk teams

What you do

  • Approve the plan and success measures
  • Confirm the pilot group
  • Nominate champions in each team
You receive: Change plan, communications calendar and AI safe-use guide
Phase 03

Pilot

Test with a small group, learn quickly and refine before scaling.

Weeks 4–8Who’s involved: Champions, pilot group

What we do

  1. Train and support your champions network
  2. Run role-based workshops for the pilot group
  3. Build starter prompt libraries and job aids
  4. Gather feedback and early usage results

What you do

  • Free up time for pilot staff to attend
  • Share honest feedback
You receive: Pilot results and refined training materials
Phase 04

Roll out

Scale across the organisation in manageable waves.

Weeks 8–16Who’s involved: All teams, by department

What we do

  1. Deliver workshops department by department
  2. Hold weekly office hours for questions
  3. Send short tips and reminders through your channels
  4. Track attendance and early usage by team

What you do

  • Leaders model the new way of working
  • Share quick wins internally
You receive: Trained teams, role-based job aids and live support
Phase 05

Reinforce & prove

Make new habits stick, and show leadership the results.

Month 4 onwardsWho’s involved: Leadership, champions, HR / L&D

What we do

  1. Review usage against your success measures
  2. Run refresher and advanced sessions
  3. Offer certifications, such as Microsoft Office Specialist, to validate skills
  4. Issue Credly digital badges to recognise progress

What you do

  • Recognise and celebrate adopters
  • Decide the next priorities
You receive: Adoption results report for leadership, plus certifications and badges
AI & Copilot adoption

Making AI useful, safe and everyday

AI tools only pay off when people know what to use them for, and how to use them safely. These four pieces run through every AI programme we deliver.

Role-based use cases

We find the everyday tasks in each role where AI saves real time — and start there.

Prompt libraries & job aids

Ready-to-use prompts and one-page guides people can copy, adapt and keep.

Safe, responsible use

Plain-English guidelines on data, accuracy and checking outputs, agreed with your IT team.

Champions network

Trained staff in every team who answer questions and keep momentum going.

What success looks like

Before and after

Before

  • Licences bought, but few people use them
  • One-off training that is quickly forgotten
  • No clear owner for the change
  • Leaders can’t see whether it’s working

After

  • Staff using the tools in their weekly work
  • Short, role-based learning with ongoing support
  • A clear plan, sponsor and champions in every team
  • Simple reports that show usage and results

Questions

Common questions

A typical programme runs three to six months, with pilot results in six to eight weeks. Smaller teams can move faster; we agree the timeline with you in the Plan phase.

No. We are a Microsoft and Google partner, and the same method works for any tool your people need to adopt.

Yes. Many clients begin with role-based workshops. We will also recommend light reinforcement, such as office hours or champions, so the learning is used.

We agree three to five simple measures up front — for example weekly active users, time saved on key tasks, or certification completions — and report against them.

A Capability Assessment. It gives you a clear picture of where you are, what is in the way and a practical roadmap for what to do next.
